Endeavour Exhibition – Information for Student Participants
We look forward to having your project be a part of the Faculty of Engineering and Information Technology’s Flagship Event; Endeavour Exhibition Semester 1 2024.
Endeavour Exhibition Overview
The Semester 1 Endeavour Exhibition will be held on Wednesday 22 May 2024 at The University of Melbourne, South Lawn.The day will consist of three parts:
- Endeavour Exhibition
- 11:00am – 3:30pm AEST: Open to the Public and Academic Assessment as required
Please work with your team to self-organise breaks during this time
- 3:30pm – 5:30pm AEST: BREAK. A snack will be served for Endeavour Students in the Studio.
- 5:30 - 7:30pm AEST: Industry Viewing (invited guests and Endeavour students only)
- Endeavour Awards
- 7:30 – 8:30pm AEST: Endeavour Awards Night (invited guests and Endeavour students only)
- 8:30pm -9:30pm AEST: Celebrations with drinks & canapés
Physical Exhibition
This main event of the exhibition will be open to the public, each group will have a space to exhibit and present their projects. There will be university students, staff, academics and general members of the public in attendance. The Endeavour Exhibition is an opportunity for students to break down the barriers of engineering and IT and get members of the general public engaged and excited in their work. Students will practice explaining their projects in general terms to those who have no technical knowledge of their work.
During this time, judges will be visiting projects that have been shortlisted for a Departmental Award to select their winners. The public will also be voting for their favourite project to win the People’s Choice Award. If your project is being assessed, your project supervisor will also come by to mark your project. There must be one person present with your project at all times so we encourage you to take turns, though during judging, all members of your team must be present. You can check in with your supervisor the approximate time they may be dropping by if you would like to.
Endeavour is a long day, so please ensure you bring a bottle of water, snacks and something for lunch.
- Industry Viewing 5:30pm – 7:30pm AEDT
This is an exclusive invite-only event where industry members will be invited to view the Endeavour Exhibition. We strongly recommend that students return for the Industry Viewing to network with industry members and practice pitching their projects in a professional setting. Project groups who have been shortlisted for a sponsored award must be present to meet the judges.
- Endeavour Awards Night 7:30pm – 8:30pm AEDT
Wrap up your final semester by celebrating what you’ve achieved for the Endeavour Exhibition! Winners and runners-up will be announced for the Departmental Awards, Industry Awards, and People’s Choice Award. There will be light canapes, refreshments, and live music so that you can celebrate the wrap up of your project.
Student requirements & timeline
In the lead up to the Endeavour Exhibition, project students will be required to submit compulsory work relating to the exhibition. It is the student’s responsibility to keep track of deadlines and key dates. Please ensure you have read the below information carefully. You can also find more information here

Week 1 | Project Group Registration opens Assign a team leader to be your group’s main point of contact. Week 4 | Poster Design Workshop (In-person) This workshop is run by the student and scholarly services team within the university and will assist your team in developing your project poster. Week 6 | Risk Management Workshop & The risk workshop will teach students about risks, hazards and how to complete a risk assessment form that is specific to presenting your project to the general public (different to your original project risk assessment around the creation and outcome risks of the project). Everyone has the chance to receive a professional headshot at our student photoshoot. These photos will be free-of-charge. Your photo will be used on the Endeavour Map and distributed to you for personal professional use. If you do not attend this photoshoot you will need to submit a headshot afterwards. Week 8 | Risk Assessment Due This is an extension of the risk assessment you would have already completed in your capstone unit. Revise the risks and hazards that you have previously recorded and add additional risks that are relevant to the Endeavour Exhibition, such as risks involved in the general public interacting with your project and the physical display in an exhibition booth. You need to submit this RA to your capstone coordinator and get it signed off before submitting to event management. If you have not created a risk assessment before, please create a new one. Week 12 | Endeavour Exhibition The main exhibition where members of the public will be present. During this time, your team will be engaging with attendees to tell them more about your project and answering questions (both physically at the exhibition and virtually on your team’s web page). Consider splitting your group into shifts throughout the day so that you can take breaks. At least one member of your team must be present at all times throughout the exhibition. If your project is applicable for assessment, supervisors will be attending at different times according to their schedule to assess groups. Week 12 | Endeavour Industry Viewing An exclusive invite-only event with university donors and industry members present to view your projects. This is where you will use your ‘elevator pitch’ skills to ‘sell’ your project and make connections with industry leads. Requirements

Week 12 | Endeavour Awards Night & Celebrations Following on from the Industry Viewing, students and guests will head to the Awards Night where winners of the Departmental Awards and Sponsored Awards are announced. How awards work
Discipline Awards
Every project team is in the running for the Discipline Awards. The process is as below:
- Throughout the semester, your Project Supervisors will review your projects (you won’t be notified when this is happening).
- The judges shortlist projects based on Supervisor reporting and scoring (you will not be notified if you are shortlisted).
- Shortlisted teams are visited by the judges during the exhibition public opening hours. Have your pitch ready!
- Winners are announced during the Awards Ceremony.
Sponsored Awards
You must apply to be in the running for these awards. The process is as below:
- Complete and submit your application(s) by the deadline indicated above.
- Industry judges review all applications and shortlist 3-4 per award. You will be notified if you are shortlisted.
- Industry judges visit shortlisted teams during the industry viewing. Have your pitch ready!
- Winners are announced during the Awards Ceremony.
People’s Choice Award
Each booth will have a QR code on the day so attendees can scan and vote for their favourite projects. Rules:
- Endeavour Students may not vote (and we monitor this).
- One vote per person. Invite as many of your family and friends along as possible so they can vote for you!
- Winner is announced during the Awards Ceremony.
- One voter is chosen at random to receive a $100 gift card.
Why You Should Apply

- Insight into what industry are working on and looking for in engineering & IT graduates.

- Demonstrating your work to industry professionals in a supportive setting with help and guidance from supervisors, the events team and UoM Learning Strategists.

Completing your Risk Assessment
The Risk Assessment workshop is compulsory for at least one member of each group, as every project group must submit an exhibition specific risk assessment. You can find the template linked above in the timeline.
There are many risks involved with exhibiting to the public. Things to remember when completing your risk assessment:
- The exhibition is open to everyone, not just university staff and students. You may have children and general public attend the event and you must consider how they will safely view and/or interact with your exhibit.
- You must consider your power and space requirements that ensure your exhibit is safe.
- All electronic equipment must be tested and tagged on 22 May 2024.
- How you will be transporting every element of your exhibit to and from the exhibit.
- Bump out happens immediately after the celebrations, so you need to plan accordingly to remove your exhibit on time.
- Data and privacy risks and controls, especially if you’re collecting any public information.
- Slips, trips & fall risks and controls.
- The weight of your exhibit (i.e. is it too heavy for the table, will you need to place it on the floor?)
- If your exhibit breaks, how is it safely cleaned and disposed of?
- PPE required to handle your exhibit.
- The risks and controls involved with a long day in a warm space.
- You Project Supervisor must sign your risk assessment prior to submission.
All risk assessments are carefully reviewed by the events team and inadequate risk assessments will need to be completed again and resubmitted, so be thorough the first time!

Designing your poster
The poster submission requirements are listed in the timeline above. Come along to the poster workshop on campus where we’ll cover how to design your poster so that it communicates the necessary information in a concise, accessible way.
It’s important to remember that the people viewing your exhibit and poster may not be familiar with very technical terms, so you need to think about simple ways of communicating your information. Your poster does not need to have absolutely all of your information on it. It should kick start conversation and invite questions and interaction.
At this stage, you are not permitted to use University of Melbourne branding elements as the University is in the process of rebranding. Consider instead choosing a colour palette and getting creative with a logo for your project. This is not a requirement but the more visually impactful and easy to read your poster is, the more likely industry representatives will be to remember it and your work.
