Learn about the key dates, requirements and other important information for the Endeavour Exhibition.
Key Dates
In the lead up to the Endeavour Exhibition, project students will be required to submit compulsory work relating to the exhibition. It is the student’s responsibility to keep track of deadlines and key dates. Please ensure you have read the information below carefully.
Week 1
Monday, 2 March - Project Group Registration Open
Assign a team leader to be your group’s main point of contact. They will need to complete the registration form for your group and fill out details about your project and team members’ details.
Team leaders are encouraged to submit this form as soon as possible so we can advise your coordinator that you have enrolled to participate. This form will close strictly for new registrations on Wednesday, 1 April at 11:59pm AEST.
This form can then be edited up until Tuesday, 28 April, with any changes to your project. Changes after this date must be emailed to the Events Team for approval.
Tuesday, 2 March - Sponsored Award Applications Open
Details about the awards and application can be found on the Awards Page. All project teams are eligible and encouraged to apply.
Week 2
Wednesday, 11 March, 4:00pm - 5:00pm AEST - Student Information Session
The Student Information will be in-person at PAR-192-L2-L108-Laby Theatre (210). This briefing session will run students through everything they need to know about participating in the Endeavour Exhibition Semester 1. There will be time for a Q&A with the Events Team to answer any questions you might have. Attendance at this session is crucial as it will help you understand exactly what’s required to feel prepared for what’s ahead. Attendance is compulsory for at least one member of your project team.
Week 8
Tuesday, 28 April, 11:59pm AEST - Project Withdrawal Deadline & Final Change
If your project group is no longer able to participate in the Endeavour Exhibition, please email the Endeavour Events Team immediately, and no later than this date.
Any fields incomplete in your registration form must now have been communicated to the Endeavour events team via email. You must have confirmed:
- Project title
- Project description
- Exhibition requirements
- Industry guests to invite
Any changes after this date must be reviewed by the Events Team and may not be approved.
Tuesday, 28 April, 11:59 AEST - Sponsored Award Applications Close
Details about the awards and application can be found on the Awards Page. Please ensure you submit your application on time as late applications will not be accepted.
Tuesday, 28 April, Student Photoshoot and Risk Management Workshop
Student Photoshoot: 12:00pm - 2:00pm at Old Quad (subject to change)
Risk Management Workshop: 3:00pm - 4:00pm at PAR-181-L3-W312-ESJ King Theatre (148)
The risk workshop will teach students about risks, hazards and how to complete a risk assessment form that is specific to presenting your project in an exhibition setting (different to your original project risk assessment around the creation and outcome risks of the project).
Everyone has the chance to receive a professional headshot at our student photoshoot. These photos will be free of charge. Please come in business attire, as this will be a professional headshot that you can use in the future!
Your photo will be used on the digital Endeavour Map and distributed to you for personal professional use. If you do not attend this photoshoot, you will need to submit a headshot afterwards.
The photoshoot schedule will be released soon. Attendance at the Risk Management Workshop is compulsory for at least one member of your project team.
Wednesday, 29 April, 3:00pm - 4:00pm AEST, Pitch and Poster Design Workshop
The workshop will be in-person at PAR-153-L1-189-Masson Room (150) and will assist your project group with how to:
- Assist your team in developing an effective and engaging poster that will help boost your marks and attract more attendees to your booth.
- Engage with an audience in an exhibition setting
- How to ‘sell’ your project to industry members
- Best present your main objectives and findings in an effective manner, accessible to people without your technical knowledge.
Attendance is compulsory for at least one member of your project team.
Week 9
Tuesday, 5 May, 11:59pm AEST - Risk Assessments Due
This is separate to the risk assessment you have completed as part of your capstone unit. You must use the Exhibition Risk Assessment template provided and cover the risks and controls mentioned on the template.
You must submit this Risk Assessment to your Project Supervisor and get it signed off before submitting it to the Events Team for final approval..
If your risk assessment is not satisfactory, you will need to do it again, so please be thorough.
Week 10
Monday, 11 May, 11:59pm AEST - Posters and Headshots Due
The events team may be able to print your poster on your behalf if it is submitted by this deadline. If you are unable to submit your poster by the deadline, it will be your responsibility to have the poster printed and brought on the day.
If you didn’t attend the professional photoshoot, please submit an individual photo of yourself instead.

Week 12
Tuesday, 26 May, 9:30am - 3:00pm AEST - Project Student Exhibition Bump-in
All project groups will set up their exhibition booth on Tuesday 27 May. Please arrive at the allocated bump in time based on your department. Times will be provided closer to the event date.
Students are also required to bring all electrical equipment that they intend to be plugged in (chargers, extension cords etc) to be tested and tagged.
Wednesday, 27 May, 11:00am - 8:30PM AEST - Endeavour Exhibition and Awards Night
The main exhibition where members of the public will be present. During this time, your team will be engaging with attendees to tell them more about your project and answering questions.
Consider splitting your group into shifts throughout the day so that you can take breaks. At least one member of your team must always be present throughout the exhibition.
If your project is being assessed, please check in with your Subject Coordinator to see what time the assessors will be coming so that your whole group is present. Please wear smart casual to business attire (no singlets, hoodies, etc.) and closed-toe shoes.
All project groups will need to take all personal belongings after the awards ceremony.
If you are unable to pack down all your items on Wednesday, you will have until 10.00 am on Thursday to do this. If you fail to collect all your belongings by then your items will be disposed of.
If you need to leave equipment overnight, you need to liaise with the Event Team prior to the event.
